Mailbox
Mailbox is the component of NovaCom that allows for management of Email.
To view emails, double-click the Mailbox icon located on the NovaCom desktop.
Message properties are identified by a series of symbols shown below.

Viewing Messages
To view a message, double-click anywhere along the message line. A new window will open to display the contents of the message. Close the window when finished.
Sending Messages
To open a new message window, click Message > New Message OR click New on the Shortcut bar.
The user’s name will automatically appear in the From: field. Fill in the email subject in the appropriate field. Click anywhere in the text area and type the message.
Insert the names of the recipient(s) into the To: field by typing their name and hitting Enter on the keyboard. If the exact spelling of the recipient’s name is not known, type fragments of the name and hit enter. The directory will do the rest.
Finally, click the Send icon on the Shortcut bar OR go to Message > Send.
Replying to Messages
Open the message to reply to by following the instructions given in Viewing Messages.
Click on the downward arrow next to Reply on the Shortcut bar. Click on the reply style desired from the drop down menu.
Complete the reply by following the steps shown earlier in Sending Messages.
Pay close attention to who is being replied to, especially when using Reply and Reply with Quote as these options will take all the information from the original message and place it in the reply, including people in the Cc: field (but not those who may have been Bcc’d the original message).
Forwarding Messages
An email can be forwarded to people who might be interested in seeing a particular message.
The procedure is the same as creating a reply, but instead of clicking Reply, click Forward (located to the right of Reply on the Shortcut bar).
A forwarded message differs from a reply because the contents of the original message are automatically copied into the new message and the To: and Cc: fields are left empty.
Complete the forwarded message by following the steps shown earlier in Sending Messages.
Using the Directory
The directory lists all employees of North Vancouver School District, all conferences, and any contacts entered in the user’s Address Book (these will appear at the top of the list).
If there is a need to communicate with someone but only have a first name, a last name, are not sure of the correct spelling, or are not even sure whether he/she is the right person, the directory can help.
To access the directory go to Collaborate > Directory OR click on the Directory icon on the Shortcut bar.
Once the person has been found, highlight the name first then click Résumé to view the person’s résumé or double-click their name to view more details. The résumé will be empty if that person has not entered any information.
Saving Messages
The NovaCom mailbox size is limited to 150 Megabytes of storage. While this is a large amount of space, in some cases it might be necessary to permanently save a message elsewhere.
Select the desired message(s) in the Mailbox. Go to Message > Summarize Selected. A new text window will appear with a summary of the selected message(s). Go to File > Save As or Export and save the messages into the desired location on the computer. Delete the original messages to create additional room in the email mailbox.
Deleting Messages
It is recommended that each user’s mailbox be cleared of unwanted mail on a regular basis.
To delete a message, click once to highlight it in the mailbox then go to File > Delete on the standard toolbar OR highlight the message and hit the Delete key on the keyboard OR click the Delete icon on the Shortcut toolbar.
